Job Description
Our Client, a Healthcare company, is looking for a Legal Assistant for their Columbus, OH location.
Responsibilities:
Calendaring & executive support:
Manage complex calendars and scheduling for up to five attorneys
Coordinate appointments, meetings, and time-sensitive scheduling priorities
Anticipate attorney and department needs while balancing multiple priorities
Communication management:
Review, organize, and prioritize communications in a timely manner
Answer and direct calls for the Legal Department main line
Prepare, edit, proofread, and format correspondence, presentations, reports, and other documents using Microsoft Office programs
Professionally greet and assist internal and external customers, guests, and vendors
Meeting & event coordination:
Coordinate meeting logistics, invitations, agendas, and materials
Arrange conference rooms, audio/visual support, and catering as needed
Gather and distribute meeting materials
Take and distribute meeting minutes when requested
Administrative & office support:
Provide administrative support to attorneys and additional legal support staff as needed
Assist with department operations, mail distribution, office organization, and supply management
Support maintenance and coordination of office equipment and shared resources
Assist with general office coordination and additional administrative duties as assigned
Fiscal & technology support:
Assist with purchase orders, expense reports, mileage reimbursements, travel-related documentation, and other administrative financial processes as needed
Utilize Microsoft Office applications and learn client Matter Management Platform
Adapt to and support evolving technology and enterprise systems, including Workday and other client platforms
Document & records management:
Maintain paper and electronic files with a high level of confidentiality and organization
Securely manage sensitive and confidential information in accordance with client policies
Organize and retrieve records and departmental information efficiently
Follow client records retention policies and support long-term document storage as appropriate
Service & project support:
Deliver responsive and professional customer service to attorneys, leadership, staff, and visitors
Support departmental projects and assist with additional responsibilities as assigned
Collaborate effectively within a team-oriented environment while exercising sound judgment and discretion
Balance autonomy with teamwork while supporting multiple leaders and priorities
Requirements:
High School Diploma or GED required
3-5 years of progressive office experience or demonstrated related administrative experience required
Prior experience as an Executive Assistant, Administrative Assistant, or similar corporate support role preferred
Experience supporting multiple executives and/or attorneys preferred
Legal administrative experience preferred, but not required
Strong organizational, multitasking, communication, and problem-solving skills
Ability to prioritize work in a fast-paced professional environment
Proficiency in Microsoft Office Suite, including Outlook, Excel, and PowerPoint
Professional demeanor with strong attention to detail, discretion, and confidentiality
