Minimum Education: Associate's degree from an accredited college or university in paralegal, business or related field OR any combination of education and experience which would provide the knowledge, skills, and abilities to perform the job.

Minimum Experience: Three years of administrative, legal support experience OR any combination of education and experience which would provide the knowledge, skills, and abilities to perform the job.

Other Requirements:

  • Valid Washington State driver's license if driving a vehicle for County business.
  • Notary Public License or ability to obtain within six months.

POSITION SUMMARY:

This position performs office and staff leadership, and advanced legal administrative support work to assist the Prosecuting Attorney's Office by independently gathering and maintaining prosecution files and maintaining communication to other parties for efficient handling of cases.

ESSENTIAL FUNCTIONS:

The following duties are essential for this position. However, they are not to be construed as exclusive or all-inclusive. To be successful in this position, an individual must be able to perform each duty satisfactorily. Other duties may also be required or assigned.

ALL POSITIONS

  • Provides customer service to internal and external customers; addresses and resolves customer questions/concerns as able.
  • Provides guidance for and assigns daily legal support activities, ensuring efficient and timely completion of work. Performs administrative tasks involving personnel, daily operations, and recordkeeping; reviews completed work to assure compliance with department, office, and legal policies and procedures.
  • Prepares, maintains and updates detailed files, records, dockets, and logs on computerized and manual recordkeeping systems; verifies data, then enters and edits reports or information; searches files and records for readily identifiable information as directed; monitors inactive files, updates records and destroys as authorized.
  • Drafts, proofreads, edits, and files legal documents, briefs, pleadings, subpoenas, warrants, summons, and other legal correspondence.
  • Responds to public records requests.
  • Prepares, opens, maintains summary sheet, and monitors various files such as: court and case files, parentage actions, contract review, tax claims, and warrants to assure timely action and/or review by attorneys, as assigned.
  • Receives and analyzes legal documents and information; determines action necessary.
  • Types and distributes legal documents, forms, briefs, correspondence, reports, memoranda, dispositions, statistics and schedules from hand written drafts or notes, verbal or standing instructions.
  • Composes general correspondence and prepares regularly recurring reports; types and distributes standardizes forms; proofreads and edits documents.
  • Attends courts as necessary to assist deputy and/or provide support to victims/witnesses.
  • Provides liaison function between the department/program and defendants, clients, victims, attorneys, court, law enforcements agencies, community agencies, schools, and the general public, coordinating schedules, providing and obtaining information, and assisting them in completing necessary reports.
  • Schedules and maintains calendar for hearings, trials, interviews, blood draws, testing, meetings, and appointments.
  • Processes police reports and provides discovery.
  • Compiles and generates witness lists. Researches and compiles criminal history for witnesses.
  • Assists in developing and implementing of office procedures and policies for assigned area; recommends changes as appropriate; prepares and updates procedural manual.
  • Enters, scans, indexes, updates, and maintains information in spreadsheets, databases, and reports.
  • Maintains electronic filing, paper filing, and record systems to provide easy access to records and information; provides retention of records as required by Office and County policies.
  • Organizes and maintains resource information in a variety of formats.
  • Assists other office personnel during peak period of work or for absences.
  • May instruct or train department staff.
  • Other duties as assigned.

CHILD SUPPORT DIVISION

  • Follows procedures for Child Support issues, including additional research and filings, conducting interviews and genetic testing, follow-up filings and communications as assigned.
  • Follows the Washington State Child Support Schedule and Economic Table to independently drafts child support orders and judgments along with calculating precise judgments.
  • Maintains confidentiality safeguards and follows IRS and HIPAA requirements in Child Support matters.
  • Provides a liaison function between the Prosecutor's Office, the Washington State Division of Child Support, and other persons and entities, coordinating schedules, providing and obtaining information, and assisting them in completing reports.
  • Conducts-in person interviews with parties in child support matters that are sensitive in nature to ensure the accuracy of legal pleadings.

  • Court procedures, legal processes, and the justice system.
  • Legal terminology, forms, and documents.
  • Administrative policies and procedures of the County.
  • The County's and Office's operating requirements, policies, procedures, and practices; and local, state, and federal regulations related to department programs and operations.

  • Operation of standard office equipment and software consistent with this position.

  • Maintain professionalism at all times.
  • Maintain effective working relationships with individuals within and outside the organization.
  • Maintain confidentiality and discretion regarding business-related files, reports and conversations, within the provisions of the Public Records Act and other applicable State and Federal statutes and regulations.

CHILD SUPPORT DIVISION

Knowledge of:

  • The Uniform Parentage Act
  • The Washington State Child Support Schedule and Economic Table, both past and current.

Ability to:

  • Obtain, read, and understand tax documents, pay statements, employment security data, and other financial documents/data.
