This position supports front desk operations, visitor management, conference room coordination, phone coverage, hospitality services, and light administrative duties.
Responsibilities
- Meet and greet all visitors, clients, and employees professionally while maintaining front desk appearance and office security procedures
- Answer and direct incoming calls and emails using professional phone and email etiquette
- Schedule, maintain, and prepare conference rooms with supplies, beverages, video conferencing, catering, and hospitality services
- Manage visitor check-in procedures and monitor staff whereabouts to appropriately handle calls, visitors, and inquiries
- Perform light administrative and clerical duties including invoice entry, filing, document preparation, calendar management, appointment scheduling, and meeting coordination
- Prepare legal documents and correspondence from drafts or dictated text as required
- Support attorneys, paralegals, and legal administrative staff with daily office tasks and deadline management
- Maintain organized lobby, workspaces, supply rooms, and conference areas
- Order and organize office supplies, refreshments, and catering as needed
- Provide concierge-style support by assisting guests, clients, and staff with local area information and services
- Assist with issuing and tracking office property such as ID badges, phones, directories, or related materials
- Participate in office initiatives, community service events, and additional duties as assigned
- Lift and move office supplies or materials up to 50 pounds when necessary
Requirements
- High school diploma required; Associate or Bachelors degree preferred
- Minimum three (3) years of related business experience preferred, with strong preference for administrative, receptionist, switchboard, or legal office experience
- Experience within a law firm or legal environment strongly preferred
- Proficiency in Microsoft Office Suite, including Word and Excel
- Strong customer service, communication, organizational, and multitasking skills
- Professional appearance, clear speaking ability, and polished presentation required
- Ability to handle confidential information and maintain professionalism at all times
- Comfortable working with technical equipment and office systems
- Detail-oriented with the ability to manage multiple priorities in a fast-paced office environment
- Professional business attire required
