Relieves superior of non-routine administrative duties, makes recommendations and assists in developing new procedures and programs. Researches and analyzes materials, information and programs for the Board. Provides technical information and advice to administrators for decision making. Serves as liaison between public, field staff and administrators; transmits decision and directives. Makes recommendations and assists in developing new procedures and programs). Manages and maintains case flow through Legal division (via Matrix Civil) including docketing (with an emphasis on coordination of staff and attorney schedules), preparation of pleadings, tracking of timelines and other statutory requirements mandated by the Chapter 119 Administrative Hearing Process.

Prepares minutes, memos, reports, tables, charts, interviews, pleadings and decisions from written or recorded material of technical, legal, medical, or statistical nature for dissemination outside the work unit. Receives and logs in legal documents; maintains legal files and retrieves information as needed. Maintains destruction records for agency and updates as needed; serves as backup to the Executive Director's administrative assistant.

Prepares Notices of Opportunity for Hearing, Board Orders, Cease and Desist Orders, Settlement Agreements, reports, tables, charts, pleadings and decisions from written or recorded material of technical, legal, scientific, or statistical nature for dissemination outside the work unit. Prepares official records for submitting to the court when an adjudication order of the Board has been appealed; schedules adjudication hearings; serves as a liaison between the Board and the Assistant Attorney General; receives, researches and replies to all public records requests; processes sealed records requests. Serves as liaison and reports all administrative actions to NABP and NPDB; assists with tracking probation of licensees including reviewing reports and initiates case review when standards are not met; performs secretarial tasks (prepares confidential correspondence &/or reports). Maintains confidential files; maintains calendar &/or makes travel arrangements for supervisor; handles sensitive phone calls and routes to appropriate parties for response.

Performs public records response duties including tracking all requests. Researches and responds to inquiries and complaints at the direction of the Chief Legal Counsel. Furnishes information and explains programs to the public, law enforcement personnel, and court system personnel; works on specials projects and assignments as directed by Chief Legal Counsel. Performs clerical tasks (receives, opens, logs, distributes incoming mail; answers phone & screens calls; greets and directs visitors; maintains inventory of general legal office supplies and orders as needed; maintains files and retrieves information.

Assists the Chief Legal Counsel in the preparation of state and federal court cases, including tracking deadlines, filing motions, and other non-routine administrative duties related to case processing; prepares, schedules and hosts stakeholder meetings as directed by Chief Legal Counsel and other Board functions deemed necessary.

THE INITIAL PROBATIONARY PERIOD FOR ALL NEWLY HIRED EMPLOYEES WILL BE 365 DAYS. UNLESS REQUIRED BY LEGISLATION OR UNION CONTRACT, STARTING SALARY WILL BE SET AT STEP 1 OF THE PAY RANGE.

30 mos. exp. or 30 mos. trg. in secretarial/administrative professional field.
